Taking Time Off From Your Business & How ClickUp Can Help

Taking time off from your business—whether it’s planned (like maternity leave or vacation) or unplanned (like getting sick or needing emergency time away)—can feel overwhelming when you’re the one holding everything together. But here’s the truth: your business can keep running without you if you set it up to do so. And ClickUp is one of the best tools to help you prep for time off without dropping the ball.

Let’s walk through how I use ClickUp to make sure things keep moving, even when I need to step away.

1. Create a Time Off Prep Folder

Start by creating a dedicated “Time Off” folder inside ClickUp. This acts as your home base for all things related to your upcoming (or current) time away.

Inside this folder, create lists for:

-Coverage Plan: Who’s doing what while you’re out

-Important Logins or Links: Passwords, tools, contact info

-Client Notifications: Templates for emails or messages you’ll send out

-Out-of-Office Checklist: Tasks to complete before stepping away

This keeps everything in one central place so you—and your team—can stay organized and feel confident knowing what’s handled and what’s not.

2. Use ClickUp Docs for SOPs

Whether you’re out for two days or two months, your team (or even future you) shouldn’t be guessing how to handle your daily responsibilities.

That’s why SOPs (Standard Operating Procedures) are a must—and ClickUp Docs is the perfect place to store them.

Create SOPs for things like:

-Onboarding new clients

-Sending weekly emails

-Posting to social media

-Following up on invoices

Link each SOP directly to the recurring task it belongs to so your team always knows exactly how to complete it. Bonus: you can even record a quick Loom video and drop the link in the doc for visual learners.

3. Assign Owners to Tasks in Advance

One of the biggest mistakes I see? Leaving tasks unassigned and hoping someone will pick them up. Don’t do this.

Instead, go through your recurring tasks and assign a team member and a due date for each one. If you don’t have a team, this is a good time to consider bringing on a temporary VA or contractor to keep the essentials moving.

Even a small shift—like assigning someone to check your inbox or follow up on payments—can make a huge difference while you’re away.

4. Automate the Repetitive Stuff

ClickUp automations can do a lot of the heavy lifting while you’re gone.

You can:

-Automatically assign tasks when a due date hits

-Change task statuses when something is marked complete

-Send reminders to your team about overdue or upcoming work

Pair this with automations in tools like Dubsado, HoneyBook, or Zapier to handle client-facing communication, and you’ve got a self-running machine.

5. Communicate With Confidence

ClickUp makes it easy to keep your team or clients in the loop about your time off. You can use:

-A banner at the top of your Workspace

-A pinned comment on relevant tasks

-A shared view that shows your coverage plan

Transparency goes a long way here—and ClickUp gives you plenty of ways to communicate without having to repeat yourself in a million DMs.

6. Set a “Return & Review” List

When you come back, you don’t want to sift through a chaotic inbox or forgotten task list. Set up a “Return & Review” list inside your Time Off folder where your team can drop updates, questions, or links you need to look at when you return.

This lets you ease back in without feeling like you’ve missed everything.

Whether you’re prepping for a baby, a surgery, a vacation, or a surprise life curveball—having systems in place makes time off possible without panic.

ClickUp gives you the tools to hand things off, keep your team in the loop, and feel confident that nothing will fall through the cracks. And honestly? That’s the peace of mind every business owner needs.
